Credit notes & cancellations

How a document is "cancelled".

Which credit document do I issue to cancel a document: retail or wholesale?

It depends on the original document:

Original document Cancelled with
Retail: 11.1 (retail sales receipt), 11.2 (service receipt), 11.3 (simplified invoice), 11.5 11.4 retail credit note
Wholesale: invoice to a business (1.x, 2.x, etc.) 5.2 credit invoice (recommended) or 5.1 correlated with the original

In both cases the amounts are positive, with the same VAT rates and classifications as the original. For a partial cancellation (e.g. one item returned), include only the lines you credit.

How do I cancel a retail receipt (e.g. an 11.1) with an 11.4 credit note?

Issue an 11.4 retail credit note with the lines being returned:

  • positive amounts, the same vatCategory and the same income classification as the receipt (e.g. E3_561_003 / category1_1),
  • no counterpart, as in the receipt,
  • in paymentMethods, how the money is paid back: cash 3, or card / IRIS 7 / 8 with skipSignature=false, so that the terminal performs the refund,
  • optionally correlatedInvoices with the MARK of the original receipt, together with correlatedInvoicesLabel for the PDF.

If you cannot trace the original receipt, AADE provides special invoice category 13 "Correlation difficulty indicator" (specialInvoiceCategory) for the 11.4.

How do I cancel an invoice (e.g. 1.1 or 2.1) that has already been issued through a certified e-invoicing provider?

An issued document cannot be deleted or cancelled through the API. You reverse it with the proper credit note, with the same amounts and classifications. For invoices to businesses, 5.2 is recommended: a 5.1 with correlatedInvoices can be rejected if the original has not yet been synced to AADE (up to 24 hours). For retail: 11.4. If the original was self-billed, the credit note is also issued as self-billing. The CancelDeliveryNote / CancelReceivingNote calls only apply to delivery and receiving notes (9.x / 10.x).

How do I correct a wrong self-billing document (e.g. a 3.1 proof of expenditure or a self-billed 1.1 invoice), since it cannot be cancelled?

With a credit note that is also issued as self-billing (selfPricing: true), so that the reversal has the correct signs. As with any credit note to a business, 5.2 is recommended. Confirm the classification with the client's accountant.

What is the correct format of the correlation field in a 5.1 credit invoice?

The field is invoiceHeader.correlatedInvoices (camelCase). It is an array with the MARKs of the original documents as numbers (long), e.g. [<MARK of the original>], not as strings. When you send it, correlatedInvoicesLabel is also required, with the reference text printed on the PDF. If the original was issued Offline and has no MARK yet, wait until it gets one and find it with RequestTransmittedDocs and uid.
